Resort Operations Administrative Assistant

Full-time

$19.00/ Hour

Flexible schedule including weekend and evening shifts

Job Summary:

The Administrative Assistant is responsible for the back-of-the-house Administrative duties. Processing new hires and terminations, handling communication and correspondence with owners, guests, and vendors. He/she will ensure that payroll is processed on a bi-weekly basis to include verification of hours, time punches, and vacation time accurately and timely. The candidate will also be responsible for the coding and filing of vendor invoices to the accounting department. The administrative Assistant will also assist with the preparation required for quarterly and annual meetings and assist the Project Manager where needed in the day-to-day operations of the Resorts.

Responsibilities and Duties:
  • Daily communication with owners, guests, and vendors.
  • Daily communication with the Resort Departments, Housekeeping Front Desk and Engineering.
  • Daily communication with Call Corporate offices.
  • Process new hires into the system and process terminations out of the system
  • Process payroll daily ensuring accuracy of time punches, vacation, and sick time.
  • Process new vendors into our payable system.
  • Process coding invoices for submission and payment.
  • Maintain a high level of accuracy and confidentiality in entering, reviewing, and updating the reports and analysis.
  • Support the daily activities and assignments provided by the Project Manager.
  • Completes all tasks assigned by management.
  • Adhere to all company and departmental policies and procedures.
  • Ability to function independently with little supervision.
  • Work with guests and management to resolve room issues and reservation issues.
  • Communicate with Board Members regarding meetings and reservations.
  • Maintain confidentiality of personal information.
  • Additional duties assigned by Management


Qualifications

Qualifications and Skills:
  • Excellent written and verbal communications
  • Proficient in Microsoft Office
  • Hospitality experience is preferred
  • Ability to communicate with all levels of management
  • Ability to deal sensitively with confidential material

  • Must be enthusiastic, energetic and self-motivated
  • Highly organized
  • Ability to multi-task and prioritize tasks
  • Ability to work independently with little to no supervision
