Pleasant Hill Health and Rehab is seeking a detail-oriented and dependable Financial Specialist Assistant to support key administrative and financial functions within the Business Office. This role is responsible for accurate payroll processing, resident trust fund maintenance, background checks, census tracking, petty cash reconciliation, and general administrative support. The ideal candidate will be organized, confidential, and highly proficient in financial procedures within a healthcare setting.

Key Responsibilities:

Payroll Administration:

  1. Process bi-weekly payroll accurately and on time, including timecard review and corrections.
  2. Track hours, overtime, PTO, shift differentials, and ensure accurate input into payroll systems.
  3. Serve as point of contact for payroll-related questions from staff.
  4. Collaborate with HR and department heads to address discrepancies and ensure compliance.

Background Checks & Hiring Support:

  1. Conduct and track pre-employment background screenings, license verifications, and onboarding documentation.
  2. Maintain secure records of background check results and hiring documentation in accordance with state/federal laws.

Resident Trust Fund Maintenance:

  1. Maintain individual resident trust fund accounts in compliance with regulatory guidelines.
  2. Process deposits, withdrawals, and purchases for residents.
  3. Reconcile trust fund ledger monthly and prepare reports for internal and external audits.


Petty Cash Reconciliation:

  1. Manage and reconcile the facilitys petty cash fund.
  2. Maintain documentation for all disbursements and reimbursements.
  3. Ensure funds are secure, accurately tracked, and replenished as needed.

Administrative & Reception Duties:

  1. Answer and direct phone calls, greet visitors, and provide excellent customer service at the front desk.
  2. Sort and distribute incoming mail; prepare outgoing mail and packages.
  3. Maintain organized filing systems and office supplies.
  4. Support the Business Office Manager and other departments with administrative tasks and project coordination.


Qualifications


  1. Strong organization skills, including the ability to prioritize and manage multiple tasks in a dynamic environment
  2. Strong analytical skills; ability to quickly identify problems and find effective solutions
  3. Strong written and oral communication skills
  4. Ability to work and produce results under pressure
  5. Ability to effectively and harmoniously interact with facility, group, and corporate management and other employees at all levels; promotes teamwork and demonstrates strong leadership skills and professionalism
  6. Fundamental knowledge of accounting practices and agency reimbursement programs
  7. Must be capable of maintaining regular attendance
  8. Must be dependable and able to work with minimal supervision
  9. Must have knowledge of office machines and equipment
  10. Basic computer skills are preferred
  11. High school diploma or equivalent
  12. Must be at least 18 years of age
  13. Must be able to speak, read, write, and understand English
  14. Must be capable of performing the Essential Job Functions and Physical and Sensory Requirements for All Job Functions.
