Position Summary:
The Director of Conference & Event Services/Executive Events at The College of New Jersey is responsible for overseeing the College's Conference & Event Services portfolio, managing a diverse range of internal and external events, conferences, and camps. This leadership position ensures the delivery of exceptional service to clients while showcasing TCNJ's facilities and reputation to external audiences. The Director supervises a team of professionals and plays a key role in developing, negotiating, and executing various campus events, including high-profile gatherings such as Presidential-level events, Commencement, and visits from dignitaries. The position supports the Division of Student Affairs by fostering collaborative relationships with various campus departments, including Admissions, Academic Affairs, College Advancement, Human Resources, and Residential Education, Housing, and Dining. The Director also leads efforts to set and achieve marketing, sales, and revenue goals, and ensures that all operational aspects of CES, including policies, procedures, and customer service standards, are effectively managed.

High-Level Vision & Execution:Pro vide vision and direction for all confe r ences , events, and camps hosted at TCNJ , ensur in g a li gnment with instituti ona l goals and brand s tandards .Lead the planning and execution of se l ect high-profile events, includi ng Presidential e ngagements , Commencement , Convocation, Welcome Week , and VIP visits .Develop inn ovativestrategics to enhanceevent impact , fosterengageme nt , andgrowauxi l iary revenue.Collaborate with int ernalandexterna l partners to negotiate, coordinate,andde li verevents that ele v a t et h e C ol l ege exper i ence.Oversee all aspects of the Office ofConference Services , including operations , bu s in ess deve l opment,c li ent intake , contract management , and vendor coordinat i on.Supervision&Team LeadershipLead and suppo rt a team includin g the Business Administrator, Associa te Director for Co nf e r ence & Event Services , professional staff, and student em ploy ees.Provide mentorship andgrowthopportunities to strengt h en teamperformance and professional development.Ensureeffective staffing and coord in at i on for events, in cludingeven ings and weekendsas needed.Manageandparticipate in staff schedu lin g equitably , especia lly during hi g h- vo lum ean d summer programs.Overseerecruitment , hiring , and trainingtomaintaina strong,service-orie nt ed team .CustomerServ i ce & OperationsEnsurehigh-qualitycustomer servicefora ll conferenceclients, vendors, and campus partners.Set and maintainservice standards that supportc li entsatisfac tion and promoterepeat business.Overseedailyoperations of conference and event serv ic es , ensuringsmooth planning, set up ,and exec ution .Collaborate with Dining,Facilities,andResidentialEducation to coordinate lo g istic sand delegate tasks.Managespacereservationsandroom setups in line withuniversitypolicies and client needs.Ensuretheupkeepof a ll faci li ties used for conferences,workingcloselywith FacilitiesandCustodial Serv ic es.|Collaborate with catering & ensu res cateri ng compliance & catering gu id eBudgetManagement&Financial OversightOversee the department budget with the Business Administrator, setting goals and monitoring expenses.Ensureeventsstaywithinbudgetand identify waysto incr ease revenueand r educe costs.Reviewfinancialreportsandensure co mpli ance with institutional policies.Manage vendor contracts and spending to s tay within budget limit s.Executive Events &Special ProjectsLead planning and execution for se lect high-profile even t s such as Commencement, Convocatio n , Welcome Week, and VIP visits.Develop agendas, oversee technic al run-throughs, an d provideon-site event sup port.Coordinatewithcampus departm e nts and vendors to ensure eve n t details a r ecommunicatedand executed.Conductpost-eventevaluationsto identify areasfor impro ve ment.Serve as the main contact for special or high-attention events req uirin g detailed coordination .Technology& InfrastructureManageevent technology systems to supportefficient bookingand coordination.Ensure toolsareuser-friendlyandenhancetheexperienceforclients and staff.Stay current on event tech trends and recommend improvements to streamline operations.Marketing & Strategic PlanningLead marketing efforts with the CES Sales Manager to attract external clients and promote campus events.Partner withtheMarketingteamtoraise awarenessof services.Align event goalswith TCNJ's strategic priorities and support long-termplanning for growth.Promote campus spaces and auxiliary services to boost revenue and maximize space use.Assessment & Continuous ImprovementCreate andmanage systems to evaluateeventsuccess and impact.Gather and analyze feedbackto enhance future services.Regularly review policies, procedures, and processes to ensure they align with best practices and institutional needs.Campus Partnerships & CollaborationBuild strong relationships with key campus departments to support event planning and execution.Work collaboratively to ensureeventsalign withcampuspriorities and meet stakeholder needs.Lead acampus-wide advisoryboard to improve services and foster innovation.Coordinate with partnersto supportsummer programs , educationalevents,andalumni conferences.Recommend capital improvements and manage housing turnover at the end of summer.Emergency ResponseServe as the liaison on the Campus Emergency Response Team (CERT) , providing support during emergencies.Respond to conference-related emergencies, ensuring service continuity and clear communication with stakeholders .Coordinate with campus partners to maintain and update emergency preparedness plans.Other related duties as assigned .
Required Qualifications:
Bachelor'sdegreein Event Management , HotelManagement , BusinessAdministration or relateddegree.Minimum of 7-10 years of proven experience in conference and event management, preferably in a higher education setting.Minimum of 5 Years of supervision experience (professional level): Strong leadership skills with the ability to manage , motivate, and develop a team.Strong financial acumen and experi e nce managing budgets .Knowledge of event management software, booking systems, and related technologies.Leadership & Stra t eg i c Planning Ex peri ence ( pref erab l y in a hi gher e duc a tion sett in g) : Proven ab ilit y to lead and manage a diverse team . in c ludin g professionals a nd s tud e nt staff : w ith a foc u s o n m e nto ri ng , coach in g , and team development. Abil i ty to make strategic decisions a nd prioriti ze tasks to ac hi eve departmental goa l s.Event Pl a nnin g, Marketing, & Execut ion : Extensive knowledge of event planning proce sses, includin g lo g i s ti cs, sc h edu lin g , m arke tin g, and on-site execution for l a r ge-sca l e events such as confere nc es, campus events , and executive-level gat h e rin gs.
