Job Description

Position Summary

We are seeking a highly organized and proactive Sr. Administrative Assistant to support multiple Vice Presidents (VPs) within the US Commercial region. This role requires a detail-oriented professional with strong communication skills, excellent multitasking abilities, and the ability to work independently while managing a wide range of administrative and executive support tasks.

Key Responsibilities

  • Calendar & Scheduling Management : Coordinate and manage complex calendars, schedule meetings, appointments, and conferences, and prioritize requests based on urgency and importance.

  • Travel Coordination : Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries. Handle last-minute changes and cancellations efficiently.

  • Expense Reporting : Manage corporate card expenses and prepare accurate expense reports using Concur. Ensure compliance with company policies and reconcile expenses regularly.

  • Meeting Support : Organize meetings via MS Teams, Webex, or Zoom. Prepare agendas, take minutes, and follow up on action items. Arrange conference calls and video meetings as needed.

  • Event Planning : Plan and execute team offsite meetings, events, and social gatherings. Coordinate logistics, venue bookings, catering, and other event-related tasks.

  • Vendor & Purchase Order Management : Use SAP to create vendor accounts and process purchase orders. Track approvals and ensure timely payments and accurate records.

  • Invoice Processing : Process and track invoices, resolve discrepancies, and maintain accurate financial records and vendor communications.

  • Other Duties : Perform additional administrative tasks as assigned.

  • Ability to work independently and manage multiple priorities in a fast-paced environment.

Minimum Qualifications

  • Proven experience as a Sr. Administrative Assistant or in a similar role supporting senior leaders.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms (MS Teams, Zoom, Webex).

Preferred Qualifications

  • Experience using Concur and SAP systems.

  • Bachelor’s degree or equivalent professional experience.

  • Experience coordinating travel and managing expense reports for senior executives.

  • Familiarity with event planning and vendor management.

  • Team-oriented with strong interpersonal and collaboration skills.

  • Willingness to travel occasionally as needed.

Additional Information:

The US base salary range for this full-time position is $75,600.00 - $113,400.00. Our salary ranges are determined by role, level, and location. The range displayed on each job posting reflects the minimum and maximum target for new hire salaries for the position in the primary work location in the US. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
