Job Description

Join Stanford University's Division of Plastic & Reconstructive Surgery as an Administrative Associate 3, where you'll provide vital scheduling and administrative support in a dynamic academic and clinical environment.

Key Responsibilities

  • Act on behalf of the supervisor in establishing priorities and resolving administrative problems
  • Conduct advanced scheduling functions for training sites
  • Oversee and organize complex conferences and events
  • Compose and draft documents and correspondence
  • Plan and schedule calendars and arrange travel
  • Process financial transactions and reimbursements
  • May supervise day-to-day work of student and temporary workers

Required Qualifications

  • High school diploma
  • Four years of administrative experience or combination of education and relevant experience
  • Advanced computer skills with office software (Microsoft PowerPoint, Word, Excel)
  • Excellent organizational skills and attention to detail
  • Strong verbal and written communication skills
  • Excellent customer service and interpersonal skills
  • Ability to prioritize, multi-task, and assign work to others
  • Ability to take initiative and ownership of projects
  • Ability to exercise sound judgment in decision-making

Preferred Qualifications

  • Healthcare or Graduate Medical Education Experience
  • Complex scheduling experience
  • College degree
  • Prior work experience at Stanford University or in higher education
  • Understanding of the organization of Stanford University Medical Center
  • Ability to independently compose/draft correspondence on behalf of department leadership
