Job Description

Key Responsibilities

  • Act on behalf of the supervisor in establishing priorities and resolving administrative problems.
  • Research and write background information for meetings.
  • Oversee and perform duties associated with scheduling and organizing complex events.
  • Compose and draft documents and correspondence.
  • Plan and schedule calendars, resolving conflicts and arranging travel.
  • Create complex reports and spreadsheets.
  • Oversee and process complex financial transactions.
  • Coordinate complex office moves and renovations.
  • Analyze and review material for briefing purposes.
  • Supervise day-to-day work of administrative or support staff.

Required Qualifications

  • High school diploma and six years of administrative experience or combination of education and relevant experience.
  • Advanced computer skills and demonstrated experience with office software and email applications.
  • Proven success in following through and completing projects.
  • Excellent organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Ability to prioritize, multi-task, and assign work to others.
  • Ability to take initiative and ownership of projects.
  • Ability to routinely and independently exercise sound judgment in making decisions.

Preferred Qualifications

  • Bachelor’s Degree.
  • Experience supervising Non-Exempt Administrative staff.
  • Knowledge of Stanford’s financial systems and web applications.
  • Desire to work in an academic environment.
  • Four years of experience as an Executive Assistant or Director-level support.
